1 - Data Controller and Data Protection Officer

The National Innovation Centre for Rural Enterprise (NICRE) is managed by the University of Newcastle upon Tyne (the University), the University is the Data Controller for personal data described in this notice.

2 - Purpose of Processing

NICRE will collect your personal data with your consent via contact forms hosted via this website domain www.nicre.co.uk in order to respond to your query/event booking/provide downloadable asset.

We further process data for the purpose of:

  • providing statistics for management reports
  • anonymising and sharing with social media platforms to see if the adverts have been successful (you cannot be identified)

In addition, for the purpose of optimising the customer experience the University’s CRM automated systems use email tracking pixels to:

  • optimise our marketing communications
  • measure impact to ensure engagement
  • for business reporting purposes
  • ensure we do not spam disengaged contacts

In order to do this the following information is tracked:

  • email open and click-through rates
  • user’s browser and device
  • IP address and location

The legal basis for this processing is legitimate interest. Without processing, we cannot:

  • meet our interests of understanding who our contacts are
  • enhance the user journey

Our emails make use of ‘clear image’ pixels for tracking. You can disable email open rate tracking by setting your server to receive plain text email.

 

3 - Data Captured

As well as responding to your enquiry or request, we would also like to use your details to contact you in the future about events, activities and other general information. To do this, we need your consent, which you can withdraw at any time. If you agree that we can keep in touch with you, please opt-in to email communications. You will have the option to manage your contact preferences and withdraw at any time.

4 - Data Location

We use forms created by HubSpot. HubSpot’s product infrastructure is hosted on Amazon Web Services (AWS) in the United States East region.

HubSpot leverages the Google Cloud Platform (GCP) in the EU (Frankfurt, Germany region) to support the processing of local customer data that is critical to its customers' businesses. These solutions provide high levels of physical and network security and well as hosting provider vendor diversity.

HubSpot’s AWS cloud server instances reside in US locations; GCP cloud instances reside in Germany. Both providers maintain an audited security programme. Any information we use for marketing purposes will be kept by us until you notify us that you no longer wish to receive this information.

5 - Data Sharing

The University will not share personal data with third parties unless the third party is acting as an agent for the University on the instruction of the University (e.g. third party mailing house to send printed materials, external venues such as hotels to assist in event administration). 

6 - Data Retention

If there has been no correspondence exchanged within a three-year period, we will contact you on a three-year rolling basis to notify you that we hold your personal data on our database and will ask you to respond to tell us if you would like us to remove your data record. You can request that your personal data is removed from our database at any point by contacting nicre@newcastle.ac.uk Data will be retained in line with the University’s data retention schedule.

7 - Your Rights

You have the right of access to your data; to update, amend and rectify your data; change your communication preferences, including opting out of receiving any marketing material. You have both the right of erasure and the right to object to the University processing any personal data as part of the consent form capture.
